A Quick Guide

When first meeting with us, you can expect us to go through 3 critical steps:

1. Discovering YOUR business! We discuss your direction, your goals and your expectations.
2. Review your current marketing strategies and make recommendations.
3. Presentation of a proposal based on these recommendations.

 

What to Expect

We pride ourselves on honest, open communication with our clients and the provision of cost effective marketing solutions.

To ensure that our relationship is well founded, please review our procedures and practices below. Engagement of our services is deemed as acceptance of these procedures and practices.

Briefing

An important part of the strategic or creative process, all campaign and project briefings should be accompanied by a written brief where possible, outlining the scope of the proposed project. This will be used as the main source of information during estimating and development forming the foundation of the project. Please contact us for a brief template relevant to your project.

Creative & Production Estimates

Once briefed and all details have been provided, an estimate will be submitted based on a standard set of rates. The estimate will detail all relevant specifications plus an itemised list of costs. In order for The Schaefer Group to proceed with a project, a formal estimate approval by an authorised client representative is required. Quotes are valid for 30 days from date of issue. Where quoted, artwork and design development includes 2 rounds of edits/authors corrections. Additional rounds of edits requested will be invoiced at an hourly rate.

Workflow and Feedback

During the project process, it is expected that the client will work collaboratively with the account service personnel at The Schaefer Group to reach the results outlined in the project briefs. This includes providing timely feedback on creative work presented, as well as a willingness to clarify and elaborate on details as required.

Approvals

Upon compilation of final designs, proofs will include a client sign-off box that must be signed, dated and returned to The Schaefer Group prior to production. While we take care to ensure error-free documents and designs, it is the clients’ responsibility to check carefully and notify The Schaefer Group of any error or omissions prior to production. Changes after approval may incur additional fees.

Intellectual Property

All items created by The Schaefer Group in the course of client projects, including but not limited to artwork, copywriting and databases,  remain the property of The Schaefer Group until fully paid for, unless a prior agreement has been made.  Upon full payment for any and all creative work generated for a client, intellectual property passes to our client accordingly. Any discarded concepts, ideas or designs remain the property of The Schaefer Group, and must not be used by the client under any circumstances, unless purchased separately.

The client grants explicit permission for The Schaefer Group to use above-mentioned final components for self-promotional purposes, including placing impressions of websites and other designs, along with a link to the client’s site, on The Schaefer Group’s own website for demonstration purposes. Any stock/royalty free images purchased on behalf of clients do not become exclusive properties of the client and may be used by other businesses and individuals.

Invoicing

For new clients, a deposit of 50% of initial projects is requested. This will be followed by an invoice for the balance of the job prior to delivery and/or completion. The Schaefer Group’s trading terms are strictly seven (7) days from date of invoice. Overdue accounts may incur a late payment fee of 15%pa, at the discretion of The Schaefer Group.

Fee Structure

All fees are calculated on the basis of average time allocations by activity calculated on projects commissioned. Any and all fees are subject to change based on requested alterations within projects, author’s corrections, strategic changes, etc. All requested alterations to projects will be charged at the agreed hourly rates.

Credits

The client agrees to allow The Schaefer Group to place a small credit on websites in the form of a link to The Schaefer Group’s own website on the client’s website. This will usually be in the form of a small line of text placed towards the bottom of the page.
